Pay: $15.67/hour - Full Time

The Kind of Work You’ll Be Doing

Under the direction of the Team Leader of Building Services, performs a variety of administrative duties supporting the Building Services teams, which includes Maintenance, Office Services, Landscaping and Housekeeping. 

  • Performs administrative duties for the Building Services teams assisting with a variety of clerical and secretarial functions. Arrange and schedule meetings and team events; make reservations and travel arrangements; process travel and expense forms and invoices. Disseminate information and schedules to staff as necessary to assure effective coordination of department or program functions.

  • Administers and oversees the maintenance and training of staff members on the Building Services Asset Management and Work Order Program. Administers monthly safety meetings with Building Services staff members.

  • Reviews and proofreads contracts, documents, records and forms for accuracy, completeness and conformance to applicable rules and regulations.

  • Compose correspondence; report information through a variety of options such as texting, emailing, in person or by telephone where judgment, knowledge and interpretation of policies may be necessary.

  • Collect and compile statistical and financial data and other information to prepare reports. Maintain budget balances and monitor expenditures of funds.

  • Maintain interdepartmental billing system; prepare and send statements to participants; review accounts and follow up on discrepancies; implement established procedures to assure payments are made in a timely manner.

  • Assists in purchasing parts, supplies and materials. Open accounts as needed according to established procedures.               

Education and/or Experience

Any combination equivalent to: graduation from high school, including or supplemented by courses secretarial skills and at least two years of secretarial or general clerical experience.  Valid Florida driver’s license
